How long does onboarding take and what’s included?
This is where we really shine. Onboarding typically takes just a few days. We set up your account, train managers on how to use the platform, format and upload your documents and videos, and get everything ready to go from day one.
Is PocketTrainer a good fit for hotels, QSRs, production kitchens, or coffee shops, too?

Is the platform available on mobile?

Is PocketTrainer easy to use?
Yes, our number one goal is to be user and mobile-friendly. It’s a simple hospitality training solution designed for busy hospitality teams. No training experience is needed—you can launch and manage training in just a few taps.
Is PocketTrainer also an employee onboarding software for hospitality?
Yes. While PocketTrainer is a full hospitality LMS, it also works as employee onboarding software for hospitality businesses. New team members can be onboarded with step-by-step digital training, structured learning paths, and easy access to company-specific materials from day one.
What can I do with PocketTrainer?
You can onboard new employees, assign courses, create and share quizzes, organise training and checklists, build digital F&B descriptions, inform staff about company updates, share documents and videos, track progress, and more. It’s your full hospitality e-learning platform and task management tool in one.
What if a user profile was created with the wrong email?
Emails can’t be edited once the user profile is created. If an incorrect email was used, the profile must be deleted and created again. All other user information can be edited easily from the staff management dashboard.
How secure is PocketTrainer?
All your data is encrypted and hosted on secure servers. Our hospitality training platform follows industry-standard security practices and is ISO 27001 certified, ensuring your data is handled with the highest level of security and care.

Can individual users sign up for PocketTrainer?
PocketTrainer is a B2B platform built specifically for hospitality businesses. At the moment, we do not support individual user sign-ups.
Can PocketTrainer be used anywhere?
Yes. PocketTrainer is a cloud-based hospitality LMS, so it can be accessed from anywhere with internet access—on mobile or desktop.
Is a professional email required?
Not at all. You can create user profiles using any personal email address—no company email required.
Does PocketTrainer use user information or sell it to third parties?
No. We don’t use or sell any user or client information. Your data is never shared with third parties.
How is client information protected?
All client data is protected by strong NDAs outlined in our SOW. In addition, every user must accept our Terms & Conditions and Privacy Policy, which safeguard your training content and company information.
I can’t log in. What should I do?
If you’re getting an error message on the login page, here are a few common reasons:
- The email or password entered is incorrect. Passwords are case-sensitive and must include an uppercase letter, a number, and a special character. Copy-pasting may also insert extra spaces—please double-check.
- Your profile was never created. Please ask one of your company admins to confirm that your account has been set up.
- Your account was deleted.
If your account is active, you can request a new password by selecting “Forgotten password” on the login page. You’ll receive a code to set up a new password. Please try this first, and if you still need help, feel free to contact us.

How much does PocketTrainer’s hospitality LMS cost?
We charge a one-time onboarding fee and a platform license fee, which is calculated based on your average number of users, billing frequency, and whether you're using just the LMS or including services like training content development or outsourced training management for hospitality. Are there any hidden or additional costs?
No hidden fees. All optional services—like custom training content development or onboarding support—are quoted clearly in advance. You only pay for what you actually need.
Why is pricing different for different clients?
No two hospitality businesses are the same. A quick-service restaurant with 3 locations has different needs than a hotel chain or a ghost kitchen. We customise plans based on your size, structure, and the services you choose.
Do you offer any free trials or demos?

Are the training courses included in the price?
Yes, our ready-made hospitality training courses, including restaurant compliance courses, are included. Customised content can also be created for an extra fee.

Can we track employee progress?
Absolutely. You can track course completion, see quiz scores, monitor training attendance and checklist completions, and even track what videos or documents employees open. Notes and comments about employees can also be added and viewed by managers. You also have visibility into login attempts—all in real time from your dashboard.
Can I upload and share documents or videos?
Yes, you can upload hospitality training materials, including SOPs, manuals, videos, or checklists—anything your team needs to learn and succeed.
What kind of training formats are supported?
PocketTrainer supports all the essential formats for digital training for hospitality staff. You can use videos, text, images, quizzes, PDFs, and even classic file types like Word, Excel, and PowerPoint. Whether you're training front-of-house or kitchen teams, our flexible format options ensure your team gets the content in the way that suits them best.
Is there a way to communicate updates to my team?
Yes. PocketTrainer supports centralised communication for restaurants with automated push notifications and a Facebook-style newsfeed. Updates, announcements, birthdays, and work anniversaries are automatically delivered to employees based on their roles—so each team member only sees what’s relevant to them. Management teams can also post internal 'News' directly to staff, such as rota schedules, pre-shift briefing sheets, or important operational updates.
Can we manage tasks inside PocketTrainer?
Yes. PocketTrainer includes a built-in feature for task management for hospitality teams. You can assign recurring checklists to departments or individuals, track completion, and make sure tasks are being followed through.
Can we track compliance training?
Absolutely. You can assign and monitor all compliance training for restaurants and hotels to ensure courses are completed on time and your team stays legally compliant.
Can we edit our training content anytime?
Yes. You can update or customise any training content, quiz, SOP, or checklist anytime. It’s your content—easy to edit, and accessible from anywhere.

Do you offer custom training content creation services?
Yes. We have a full in-house L&D department including training consultants, content writers, designers, video editors, and researchers. Our team handles end-to-end training content development (often free of charge), so you can focus on operations while we take care of the rest.
What types of content can you develop?
We develop everything from hospitality training courses, videos, SOPs, onboarding guides, HR handbooks, checklists, and KPIs to restaurant training manuals, bar training manuals, and training manuals for new employees. We also create tailored food and beverage training solutions to reflect your menu, service style, and guest experience goals.
Is content creation included in the platform subscription?
The platform includes ready-made hospitality training courses, but custom training content development is a separate service. However, we often provide content creation and planning free of charge, especially to long-term clients or those using our outsourced training management services.
Can you help with onboarding materials for new hires?
Yes. We offer employee onboarding services and create structured, branded materials such as SOPs, hospitality training manuals, and detailed training paths to guide new team members.
Can you help us write SOPs?

How do I know what materials we need?

Who owns the created training content?
You, the client, own everything we create for you. All training content is royalty-free and yours to keep and reuse across all locations—forever.
